Employee records are imported from your QuickBooks data file as a part of the initial sync with BigTime. Only active employees are imported.
As you add new employees to either system, they can be shared or they can be BLOCKED (so that they belong exclusively to one system or the other).
The Staff Members chapter talks about how to add new staff members to your QuickBooks company data file from BigTime. It also talks about how to import employees you may add to QuickBooks.

The link between your staff in BigTime and your employees/vendors in QuickBooks is managed from the Tools... QuickBooks Data... Staff Integration page. That page looks similar to the screen shown here.
The system lists your BigTime staff on the left, and your QuickBooks staff on the right. It's clear (in the example above) that there is one staff member missing from BigTime. To add that staff member, we just need to change her shared status by clicking on the checkbox in the middle of the page.
Staff members can be linked to an employee record in QuickBooks, a vendor record in QuickBooks, or both. When transactions (like timesheet data) are posted from BigTime to QuickBooks, BigTime will link those records to the employee record if one exists. If not, then it will link to the vendor record.
This means you can import vendors into BigTime (and allow them to record time or expenses in the system), just by adding them to your BigTime staff list and then connecting them to the appropriate QuickBooks vendor here on the Staff Integration page.
For more information on this type of vendor link, take a look at the staff chapter.
If you have contractors entering time and expenses into the system, then you can use the Vendor Bill creation feature to create bills from that time entry data automatically. This feature makes it possible to keep track of your vendor "cost" rates in BigTime, and to generate a bill (payable to the vendor) automatically based on those rates.
The default field mappings between QuickBooks and the BigTime staff list are in the appendix to this chapter.
