Staff Capacity Explained

BigTime uses the staff Capacity field (in the HR/Accounting section) to determine how many hours you expect your staff to bill in a typical 4-week period. Most of the time, that number falls between 140 and 160 hours.

Taking the time to fill in your staff capacity number makes the billability and utilization reports within your system more accurate. BigTime frequently converts that capacity number to a weekly value (dividing it by four) in reports or screens that report weekly hours.

Reports that show Staff Capacity/Utilization

There are a number of reports in the system that show you total input (or budgeted) hours vs. a staff member's capacity. For a few examples, take a look at the Staff report called "Allocation Detail Monthly (vs. Capacity)" or "Allocation Detail Weekly (vs. Capacity)" You can also print out the Staff "Timesheet Summary by Date Range" report (sub-totalled by week or month) to see the capacity number in action.
