There's a whole chapter in the System Guide dedicated to the link between BigTime and QuickBooks, and we show you how to setup an initial connection in the Installation chapter. While the process is simple, there are one or two things you should keep in mind as these two systems start to talk to each other.
BigTime and QuickBooks share a lot of data, and we make some assumptions about how your information is organized. Instead of linking BigTime directly to a production copy of QuickBooks, it's a good idea to connect using a "copy" of your QBW file while you're breaking in the two systems. Then, once you're comfortable that you have the settings configured the way you like them, you can point BigTime to your production file.
While data that's entered into BigTime can be pushed into QuickBooks right away, BigTime can't see what you enter into QuickBooks until you tell it to take a look. Most of the time, BigTime will log in to QuickBooks at night and take a look around. If it sees any new information there, it will bring that information into BigTime so you'll see it the next day.
That's called the Nightly Sync, and we go into more detail on it in the Integration chapter. For this introduction, however, you don't need too much detail. Just remember that changes you make in QuickBooks aren't actively "pushed" into BigTime. If you want to get those updates into your BigTime database faster, you'll need to run a manual update from within your BigTime system.
When BigTime opens up your QuickBooks data file, it does so the same way you do: it logs in. In fact, you tell it what QuickBooks user name to use when you install the system. That means BigTime acts as a QuickBooks user, and it requires the computer that will be connecting to QuickBooks to have a valid license to access your QuickBooks data file.
There's a lot more information on how BigTime shares data with QuickBooks in the Integration chapter. While most firms find the standard integration settings adequate, you have lots of room to make adjustments. So, take a look at that chapter if you find you'd like to change the way BigTime manages that link.
